The Recording Secretary will attend regular nightly meetings of the PBC beginning at 7 p.m. and usually ending by 9 p.m. There are generally two regular meetings per month and occasionally a special meeting if required. The PBC meets on the first and third Thursday of the month.
The Recording Secretary is not a board member and does not have speaking rights at the meeting, unless invited to contribute. All queries from the community about PBC discussions or meetings should be referred to the Chairman. The Recording Secretary will be asked to leave the room during “Executive Sessions” of the PBC meetings.
The recording secretary will take attendance, follow the meeting agenda, take notes on any project discussions and any motions made. The recording secretary will keep track of votes taken, noting who is in favor, opposed or abstained. Guidance and feedback will be given by the Chairman regarding the level of detail expected with the minutes.
Within one week, the meeting minutes need to be finalized and the document submitted electronically to the Town Clerk for posting. The minutes are not official until accepted at a subsequent PBC meeting.
The Recording Secretary will complete a time sheet for payment and forward to the Public Works Department for processing. The compensation is set at $125.00 per meeting.
All meetings must be conducted in accordance to Roberts Rules of Order.
